Privacy Policy
Last updated: October 27, 2026
This policy explains what personal information Sportrons Inc. collects, why we collect it, who we disclose it to, how long we keep it, and the choices and rights you have. It covers this website, our media plan and contact forms, our email, text message, and telephone programs, including calls handled by artificial intelligence voice agents, and our customer relationship management systems.
1. Scope and controller
Sportrons Inc. (274 Mount Harvard Ave, Severance, CO 80550) is the controller of the personal information described here. This policy applies to information we collect from prospective and current advertisers, agency contacts, venue and inventory partners, vendors, applicants, and visitors to this site.
It does not apply to the practices of third parties whose sites we link to, or to venue partners who maintain their own relationships with you.
2. Categories of personal information we collect
- Identifiers. Name, business email address, telephone and mobile number, company or organization, job title, mailing or billing address, and IP address.
- Commercial and campaign information. Markets, budget bands, campaign objectives, target sports, leagues, venues, radius selections, flight dates, inventory interest, audience descriptions, prior sponsorship history, insertion order details, billing contacts, and campaign performance records.
- Communications content. Email correspondence, form submissions, text message content, notes recorded by our team, and, where recording occurs, call recordings and transcripts, including calls handled by AI voice agents.
- Consent records. The date, time, method, IP address, and the exact disclosure language shown when you agreed to be contacted by email, text, or automated call, and any later revocation.
- Internet and device activity. Pages viewed, referring page, approximate location derived from IP address, browser and device type, and interactions with our site, collected through cookies and similar technologies subject to your consent.
- Marketing attribution data. Campaign parameters present in the page address such as utm_source, utm_medium, utm_campaign, utm_content, utm_term, click identifiers such as fbclid and gclid, the first and most recent landing page, and the page from which you converted.
- Professional information. For applicants, the resume and supporting documents you submit and the role you are seeking.
Sensitive personal information. We do not seek or intentionally collect government identification numbers, financial account numbers, precise geolocation, health information, racial or ethnic origin, religious beliefs, union membership, genetic or biometric data, or the contents of your private communications with others. We do not create voiceprints from call audio. Please do not send us this information. If you do, we will delete it unless we are required to retain it.
3. Where the information comes from
- Directly from you, through forms, email, text, telephone, and meetings.
- Automatically from your device when you use this site, subject to cookie consent.
- From your employer or agency, when a colleague provides your contact details for a campaign.
- From business contact and firmographic data providers, and from public sources such as company websites, public professional profiles, and government registries including SAM.
- From venue and channel partners in the course of executing a campaign.
4. How we use personal information
- To prepare, deliver, and revise media plans and proposals you request.
- To respond to inquiries and provide customer and campaign support.
- To route your request to the planner who handles your category, which is why we record the vertical you select.
- To execute, traffic, schedule, verify, and report on contracted campaigns.
- To invoice, collect payment, and maintain accounting and tax records.
- To send marketing communications about venue and radius media availability, where you have consented or where permitted by law, and always with an opt-out.
- To measure which pages, campaigns, and markets generate requests, and to improve the site and our offering.
- To maintain security, prevent fraud and abuse, enforce our terms, and establish, exercise, or defend legal claims, including evidencing consent to contact you.
- To meet legal, regulatory, and government contracting obligations.
Where the General Data Protection Regulation or United Kingdom GDPR applies, our legal bases are: performance of a contract or steps taken at your request; our legitimate interests in operating and marketing a business to business service, balanced against your rights; your consent, where we rely on it, including for non-essential cookies and certain electronic marketing; and compliance with legal obligations.
5. Calls, text messages, and AI voice agents
We contact you by telephone and text message only as described in our SMS, Calling, and AI Voice Agent Terms, which forms part of this policy.
We may use artificial intelligence voice agents to place and receive calls. Those agents identify themselves as automated at the beginning of the call, transfer you to a human on request, and honor a request to stop calling. Calls may be recorded or transcribed with notice, and in all-party consent jurisdictions we obtain consent before recording.
Call recordings, transcripts, and message content are used for quality assurance, training our team, documenting what was agreed on a campaign, and resolving disputes. Transcripts may be processed by automated systems to produce summaries and to populate campaign records in our customer relationship management system. We do not use your call audio to train voice synthesis models and we do not generate biometric voiceprints.
We do not sell, rent, or share mobile telephone numbers or text messaging consent with third parties or affiliates for their own marketing purposes.
Automated decision-making. We score inbound requests to prioritize follow-up, using inputs such as stated budget band, market, and vertical. This affects the order and speed of our outreach only. It does not produce legal or similarly significant effects, and a person reviews every plan before it is sent.
6. Who we disclose personal information to
- Service providers and processors acting on our instructions under contract: customer relationship management and marketing automation, email and SMS delivery, telephony and AI voice agent platforms, call recording and transcription, website hosting and analytics, document signature, accounting, and payment processing.
- Venue, media, and channel partners, limited to the campaign details required to confirm availability, traffic creative, and verify delivery. Partners receive campaign information, not your full contact record, unless you ask us to introduce you.
- Professional advisors such as counsel, auditors, and insurers, under duties of confidentiality.
- Government agencies and prime contractors, where required for a public-sector engagement or by applicable contracting rules.
- Authorities, where we are legally compelled, or where disclosure is necessary to protect rights, safety, or property.
- A successor, in connection with a merger, acquisition, financing, or sale of assets, subject to this policy.

9. How long we keep it
- Media plan and contact submissions: while we are servicing your inquiry and for 36 months after the last substantive contact, then deleted or de-identified.
- Contracted campaign records, insertion orders, and proof-of-play: seven years from the end of the campaign, for tax, audit, and government contracting purposes.
- Consent and revocation records: at least five years, to evidence the basis on which we contacted you. Suppression and Do Not Call entries are retained indefinitely, because deleting them would cause us to contact you again.
